About the Role
As an Executive Assistant, you will provide essential clerical and operational support to our dynamic team. Your responsibilities will include:
Performing routine administrative duties (e.g., calendar, email management, travel arrangements, responding to phone and email inquiries).
Supporting meetings and events (e.g., organizing, sending invites, preparing agendas, logistical planning & setup, hospitality, recording minutes).
Collaborating with the Admin Team to improve information management and approvals workflows.
Field unit wide communications support (e-news, announcements, etc.)
You will also support senior management by facilitating information exchange, providing advice on processes, and conducting special projects. This position requires working in an office located in Kingston, Ontario.
The Eastern and Central Ontario Field Unit spans from the Quebec border to Lake Huron, encompassing historic sites and parks. Our offices are in Kingston, Midland, and Tobermory, with smaller sites in Prescott, Mallorytown, Gravenhurst, and Ottawa. This role requires travel and the ability to work independently in diverse environments.

Education:
Secondary school diploma or an acceptable combination of education, training, and experience.
Experience:
Significant experience in providing general administrative services at a management or executive level, including:
Managing information flow and processing documents, including file and information management.
Experience in preparing and reviewing internal communications, briefing materials and documents for approval.
Experience in planning and coordinating meetings and other events, and processing travel arrangements.
*Acceptable experience is defined as 2 years experience within the last 5 years.
