Prairies Economic Development Canada (PrairiesCan) is looking for an Executive Assistant to join our Alberta team who is highly motivated, results-focused and has a personal growth mindset. You are often the first point of contact in an office full of activity and you professionally represent the regional executive team. You are in the centre of the action, you demonstrate good judgement and are able to effectively navigate federal administrative systems, processes and relationships.

The Executive Assistant is responsible for managing the daily activities, the agenda and priorities of the office of the Assistant Deputy Minister (ADM). The successful candidate will employ considerable tact and discretion in daily interactions with the President's and Minister’s offices as well as senior officials of private industry, special interest organizations and other government departments to exchange information, coordinate activities, official visits and events. Attention to detail balanced with good judgement is key to gathering intelligence on priority issues, coordinating background materials, preparing financial transactions, briefing the ADM on status and providing advice for good decision-making. Exceptional communication skills, both oral and written are essential to the success of the position.

PrairiesCan has implemented a hybrid work program with three days in the office per week and up to two days of remote work per week. The successful candidate will be expected to report to the PrairiesCan office in Edmonton, Alberta. If you are appointed to a position, PrairiesCan will provide tools and/or equipment to support in person and remote work accordingly.

Intent of the process

The intent of this process is to fill one (1) anticipatory bilingual position on an indeterminate (permanent) basis in Edmonton, Alberta. A pool of qualified candidates may be established and may be used to fill future vacancies with various employment tenures (including but not limited to term and indeterminate appointments, internal assignments, secondments, deployments, acting appointments, casual) as well as various locations, security requirements, language requirements and conditions of employment.

Note: The successful candidate must be available and willing to work a minimum of 3 days per week in the office in Edmonton, Alberta, and respond to the ADM's scheduling needs.

In order to be considered, your application must clearly explain how you meet the following (essential qualifications)

Education:
• Successful completion of secondary school or an acceptable combination of education, training and/or experience.

Degree equivalency

Experience:
1. Recent* and significant* experience providing executive assistance to a senior management team and managing the office of a senior executive.
2. Experience liaising with senior officials and their representatives and other public and private sector organizations.
3. Experience managing a complex agenda, making travel arrangements, scheduling meetings, conferences, briefings and other events.
4. Experience in the control and the administration of executive correspondence including editing and drafting.
5. Recent and significant* experience coordinating a high volume of activities, task and/or correspondence and prioritizing related commitments and deadlines.

*Recent and significant are defined as relevant experience normally acquired through the full-time performance of duties for at least two years within the past five years.

Knowledge:
• Knowledge of the role of the Executive Assistant in relation to the PrairiesCan mandate, programs, organizational structure and corporate priorities.
• Knowledge of financial and administrative procedures related to managing the office of a senior executive.
