Intent of the process

The intent of this poster is to fill multiple positions in the AS-04 and AS-05 classifications within the Chief Information Officer Group (CIOG) in the Ottawa area.

Some positions will require on-site in office five days a week while others will entertain hybrid of two days per week in the office at the following addresses:
- 101 Colonel By Drive;
- 2200 Walkley Road; and
- 60 Moodie Drive.

This process may also be used to fill other current and future vacancies with varying tenures and various language requirements within the Department of National Defence.

EDUCATION

ED1: A secondary school diploma or employer-approved alternatives.

EXPERIENCE

▶ AS-04 & AS-05 

EX1. Experience working in a fast paced or high-volume environment with shifting priorities and tight deadlines with minimal supervision.
EX2. Experience in coordinating and preparing researched advice for recommendation of corporate files, projects or initiatives to management, clients, partners, or colleagues. 
EX3. Experience preparing and reviewing documents such as but not limited to emails, briefing notes, finance or human resource reports, proposals, presentations, communiqués for use by various levels of management. 
EX4. Experience using advanced features of Microsoft applications and web based collaborative tools, such as but not limited to SharePoint, GCDocs, Adobe Acrobat or PDF editor. 

▶ AS-05 Only 

EX5. Experience analyzing complex* issues to provide advice or recommendations to senior management**. 
EX6. Experience in finalizing and presenting documents, such as but not limited to briefing notes, memoranda, business cases, communication plans, status reports, project proposals, financial or human resources reports for use by senior management**. 
EX7. Experience participating in or leading departmental or interdepartmental meetings, working groups, workshops, or seminars. 

*Complex is defined as: multidimensional aspects which include matters that are complicated or intricate.

AEX3. Experience working with a Human Resources Management System (HRMS), such as PeopleSoft, beyond self-service or Human Resources Information Systems (HRIS).

AEX7. Experience entering and retrieving data from financial management systems such as Defence Resource Information Management System (DRMIS), but not limited to preparing financial reports, processing invoices, creating Delegation of Authority (DOA) and forecasting salary expenditures. 

▶ STREAM 3 - SECURITY: 

AEX8. Experience working within a departmental security organization using the security system application WebSCPS (Security Clearance Processing System), such as a Local Registration Authority (LRA), Unit Security (USSO) and Information System Services (ISSO). 
AEX9. Experience providing advice and guidance on corporate security, security screening or security investigation processes. 

▶ STREAM 4 - ACCOMMODATIONS: 

AEX10. Experience in providing guidance in applying Accommodation policies and practices such as office moves, provisioning, ergonomic assessments. 
AEX11. Experience in developing and monitoring real property services contracts with partners contractors, or clients. 

▶ STREAM 5 - EXECUTIVE ASSISTANT / ADMINISTRATIVE OFFICER:  

AEX12. Experience in providing administrative support services to senior management (defined here as Director level or higher) including managing calendar, planning, and organizing the calendar internal and external management or governance meetings, conferences, or teleconferences, tracking and following up on meeting logistics and meeting material. 
AEX13: Experience in planning, researching, preparing, and comparing background or briefing information or reports for meetings. 
AEX14: Experience in managing the flow of information and documents through an executive office including tracking, ensuring quality control (formatting, proofreading etc.) and managing enquiries from internal and external partners, either in person or on the phone.
AEX15. Experience in preparing travel and accommodation arrangements as well as associated travel claims. 

▶ STREAM 6 - INFORMATION MANAGEMENT / ACCESS TO INFORMATION AND PRIVACY (ATIP): 

AEX16. Experience in dealing with Access to Information and Privacy (ATIP) issues.  
AEX17. Experience interpreting and applying Information Management or Records policies, directives, and procedures.  
AEX18. Experience in developing, implementing, or maintaining databases in Records Management within the Government of Canada.  

▶ STREAM 7 - EVENT COORDINATION / COMMUNICATIONS: 

AEX19. Experience analyzing requirements, developing plans, organizing, and overseeing the execution of events, ceremonies, conferences, and visits. 
AEX20. Experience in implementing, providing advice and support regarding project management principles and best practices for event delivery.

OTHER ORGANIZATIONAL NEEDS

As a result of workforce adjustment, affected indeterminate DND employees within the Aerospace Engineering Test Establishment (AETE - UIC 2671) at 4 Wing Cold Lake or within the British Army Training Unit Suffield (BATUS – UIC 7777) at Canadian Forces Base Suffield will be appointed or deployed to positions for which they are qualified ahead of other candidates.
