Duties

Role:
The Official Languages Administrative Assistant provides administrative support to the Official Languages Unit, the Official Languages Coordinator and the unit clients located across the Atlantic Region.

Key duties include:
• Service to internal and external clients
• Coordination and processing of purchases and invoices
• Coordination of bilingual bonus allowance eligibility for employees
• Creation and completion of system reports
• Monitoring of generic email inboxes
• Compilation of various data and maintenance of tracking systems
• Administrative support to the unit activities and the unit Team Lead
• Control and maintain an inventory of detachment supplies
• Provide official language policy interpretation to clients
• Assist the unit Team Lead with special projects

Intent of the process

The immediate need is to staff one position on an indeterminate basis.

A pool of qualified candidates may be established to staff similar temporary, and/or permanent positions.

Should a Civilian Member (CM) be found qualified and selected for appointment, the appointment will not result in a change of status to the Public Service (PS) category for the CM. Information regarding the CM appointment will be sent to all applicable candidates who are within the area of selection and participated in the advertised process.

In order to be considered, your application must clearly explain how you meet the following (essential qualifications)

Successful completion Secondary School education or employer approved alternatives.

Degree equivalency

Experience interpreting directives and procedures.
Experience providing advice and guidance to clients related to directives and procedures.
Experience providing administrative support (including creating and maintaining files, preparing correspondence, monitoring general inbox, preparing reports etc.).
Experience in providing client service.
Experience in finance (expenditure management, invoice payment, account reconciliation, etc.).

The following will be applied / assessed at a later date (essential for the job)

Bilingual - Imperative (CCC/CCC)
if no candidate meets this requirement, the position may be staffed on a non-imperative basis. Non-bilingual candidates are therefore encouraged to submit their applications.

This position requires proficiency in both official languages, English and French, at the above-noted level. If you do not meet the language requirements of this position and the appointment is being made on a non-imperative basis, you will be exempted by the Public Service Official Languages Exclusion Approval Order from meeting the official language proficiency requirements at the time of an appointment. By accepting an offer, you agree to undertake to attain the level of official language proficiency required for the position, through language training at public expense, within a period of two years. If you do not attain the level of language proficiency required by the end of the two-year period, you agree to be appointed or deployed on an indeterminate basis to a position for which you meet the essential qualifications that is of a similar level and salary as the bilingual position.
