The pool may be used to staff positions on a permanent (indeterminate) or temporary basis (specified period or casual employment).

Duties

- Delivery of administrative support services in one or more of the following fields: finance, human resources, office management, information management, executive services, procurement, contracting, research support or program/project management.
- Applies and explains administrative policies, procedures and directives related to one or more fields and verifies that these directives are adhered to.
- Manipulates and inputs data and generates documents, reports, correspondence, records, etc.
- Develops filing systems based on predetermined parameters; updates and maintains files.
- Performs administrative duties such as composing correspondence, developing and maintaining B/F and tracking systems, maintaining agendas, making travel arrangements, reception, preparing routine responses to enquiries, bringing urgent issues to the attention of management, distributing mail, ordering and maintaining inventory of supplies and coordinating logistical activities.

Education:

Successful completion of secondary school or an acceptable combination* of education, training and/or experience.
*"Acceptable combination” is defined as: Successful completion of 2 years of secondary school and a
minimum of 2 years of office administration experience obtained through the private or public sector, community work, volunteer work, self-employment or other.

Degree equivalency

Experience in providing general administrative support services.**

** Administrative support services refers to activities that support the day to day operations of an
organization; these generally include (but are not limited to) scheduling, managing and distributing
information within the office, entering/tracking information in databases, answering phones, booking
travel, managing meeting logistics, electronic information management, scanning documents,
tracking budget expenses, minutes, etc.

Experience in providing client service.

Experience in the administration and maintenance of information in an electronic processing system.

Experience working with the following applications: spreadsheets (Excel), word processing (Word), and e-mails (Outlook).

Diploma/ Degree from a recognized post-secondary institution.

Degree equivalency

Experience in providing administrative support services in Finance or Accounting.

Experience in managing logistics for meetings/teleconferences, videoconferences or other events.

Experience working in the aviation industry.

Experience in performing administrative activities related to contracting or procurement.

Experience in processing invoices and payments.

Experience in navigating through various computerized systems, to review, research and extract information or respond to inquiries.

Experience in dealing with the public as a part of day to day job duties.

Experience in inputting, extracting, compiling and processing data using automated systems and software.

Experience analyzing information (e.g. policies and procedures) and providing interpretation to clients in person, by phone or in writing.

Experience using advanced Microsoft Excel feature such as formatting, formulas, data analysis (filtering, sorting, and analyzing data) and pivot tables.
