Duties

The various clerical positions are:

The Case & Subject Records Clerk is responsible to process incoming and outgoing mail for the Parole Board of Canada office. The Clerk is responsible to analyse, code and index incoming documents. In addition, the Clerk is responsible to analyse, create, maintain, transfer and control physical and electronic case records, including files and audio/video cassettes. The clerk will also conduct file inspections to ensure that files are complete and records are correctly classified.

The Case Review Assistant is responsible for processing applications, waivers, withdrawals and parole reports, amending reviews and data entry, and scheduling reviews upon receipt of applications. They are also responsible for forwarding electronic documents to Board members and for proofreading, saving and distributing printed decisions. They responds to letters from offenders and supporters of offenders. The Case Review Assistant also processes requests for audio recordings from offenders. The candidate for this position will act as a liaison with the Correctional Service of Canada staff.

The Regional Communications Assistant (RCA) is responsible to provide communication services about conditional release, victim’s services and record suspensions and to coordinate the regional observer program at hearings. The RCA is responsible to maintain an electronic victim database, produce and process statistics in coordination with case files and to distribute public education resource material.

Intent of the process

The intent of this process is to establish a pool of qualified candidates for future vacancies. The pool will be used to staff positions on a permanent and/or temporary basis such as Indeterminate, Specified period, Acting, Casual, Deployment, Assignment/Secondment within the Parole Board of Canada in the Atlantic Region. The linguistic profile and tenure may vary depending on the position being staffed.

ASSET QUALIFICATIONS

EXPERIENCE
AEXP1 - Experience in using specialized information management software such as Offender Manager System (OMS), Integrated Decision System (IDS) or GC Docs.

AEXP2 - Experience in digitizing documents as well as naming, retrieving and storing this information on an electronic medium

OPERATIONAL REQUIREMENTS

- Must be able to occasionally work with old documents that may be dusty;
- Must be able to review documents containing offensive and/or disturbing information.
