Duties

Provides business support to the Chairperson, Council members and Council staff, and serves as Executive Assistant to the Chairperson.
Coordinates and manages agendas, schedules, travel and itineraries.
Plans, coordinates and directs meetings and events.
Manages and controls documentation and records for meetings and events.

Work environment

Our team has been working remotely since March 2020 and has recently resumed some in-person meetings and collaborative work. In office presence will be required for in-person meetings (approximately one to two days per month), such as, Council meetings, Complaint hearings and other formal and informal meetings. In office presence is preferred and encouraged for collaborative work with colleagues (approximately one to two days per week). Independent work can continue to be carried out from a home office.

Our office is located in a small standalone building on the Central Experimental Farm, a truly unique work environment in a quiet location. Very cost effective parking is available for all employees.

Intent of the process

The immediate need is to staff one position on an indeterminate basis.

A pool of qualified and partially qualified candidates may be established, which could be used to staff similar positions with various tenures, linguistic requirements, and security requirements.

EDUCATION
Successful completion of secondary school or an acceptable combination of education training and/or experience.

Degree equivalency

EXPERIENCE
Significant* experience in providing client service (broadly defined and could be internal or external).
Significant* experience supporting executives, senior office holders, Boards of Directors, or similar.

* Significant experience is defined as the depth and breadth of experience normally acquired in providing this type of service over a two (2) year consecutive period.

Ability to manage meetings, be it online, in person, or in a hybrid setting, i.e. facilitate the flow and functioning of meetings, which can include the following:
- managing operational logistics (such as: meals, guests, presentations, interpreters, motions, votes, minutes); and,
- mastering collaboration tools like Zoom, Teams and Slido and their functions, such as breakout rooms, polls, whiteboard, etc.
