We are looking for dynamic administrative professionals to support Executive leaders in the Lower Mainland. These are new positions created to play a key role in PacifiCan’s work to support jobs and growth across BC. The Administrative Assistant to the Director General or Director provides comprehensive support to an Executive leader and their team. In this role, the Administrative Assistant:
• manages the Executive’s agenda, engagement activities and travel arrangements;
• coordinates responses to requests for information, and ensures deadlines are met;
• consolidates and organizes information and determines appropriate formatting and presentation style;
• prepares and drafts administrative correspondence including briefing material and reports;
• proof reads and edits documents for completeness, adhering to departmental standards and procedures;
• provides administrative, financial and human resources support services for the regional office;
• monitors the budget(s);
• plans and coordinates logistics related to meeting schedules, prepares agendas, minutes and records of decision, and so much more.

As public health restrictions ease, successful candidates will be expected to report to a PacifiCan office location in the Lower Mainland.
PacifiCan offices are open environments with well-regulated air quality, ergonomic sit/stand workstations, and a combination of natural and fluorescent lighting. The physical demands of these positions include spending a significant amount of time working on a computer, and reading documents. This role will also involve meeting with stakeholders virtually by video and telephone, and in-person as COVID-19 public health measures allow.

This is an anticipatory process. PacifiCan is hiring for up to four positions in the Lower Mainland. These Administrative professionals will be supporting Director(s) General and Directors in a number of organizational branches including Policy and Advocacy as well as Programs and Partners.
This process may be used to establish a pool of qualified candidates to staff similar positions of various tenures (including but not limited to term and indeterminate appointments, internal assignments, secondments, deployments, acting appointments, and casual work assignments). It may also be used to staff positions with various security requirements, language requirements and conditions of employment.

Education:
• A secondary school diploma; or an acceptable combination of education, training and/or experience.
Experience:
• Experience providing administrative services for an Executive manager such as:
i) monitoring a budget;
ii) verifying invoices and processing payments; and
iii) monitoring and tracking correspondence.
• Experience planning and coordinating meetings, schedules and agendas for events and distributing information.
• Experience using MS Office software: Word, Excel and Outlook.
ASSET QUALIFICATIONS
Education:
• Successful completion of a post-secondary program in a field relevant to the position.
Experience:
• Experience using an electronic file management system.
• Experience using a travel management software system.
• Experience making travel arrangements and processing travel claims.
