The Executive Assistant is a key member of the team who coordinates a wide range of administrative functions and activities in support of the Branch Head. Responsibilities include managing the calendar of a busy senior executive, coordinating the flow and approval of documents, and managing financial resources. In addition, the Executive Assistant liaises with other government departments/agencies and external stakeholders in support of the Branch Head.
The role involves both working autonomously and building strong relationships within the Branch and with other executive offices. Excellent organizational and problem solving skills are essential to respond effectively to shifting priorities in fast-paced environment. The position also requires high-levels of dependability and discretion.

The intent of this process is to staff one position on an indeterminate basis.
This selection process may be used to establish a pool of qualified candidates, which could be used to staff similar or identical positions with various linguistic profiles and requirements, security profiles and various tenures.

EDUCATION
A secondary school diploma OR an acceptable combination of education, training and experience.
EXPERIENCE
Significant* experience providing administrative support to an executive (Director-level and above), including:
a) full responsibility for managing the calendar of an executive
b) preparing files and supporting documentation for meetings
c) tracking and coordinating the flow of documents and approvals
d) researching and gathering information from various sources
Experience in drafting, editing and proofreading various documents, such as executive correspondence and reports
Experience in the management of financial resources, including corporate budgets and contracting
Significant* experience liaising with other senior executive offices, other government departments/agencies or companies, and external stakeholders in support of an executive
Significant* experience refers to the breadth and depth of the experience, defined as a combination of time spent performing the activities and the diversity, scope and complexity of the activities.
Bilingual - Imperative (CBC/CBC)

EXPERIENCE
Experience providing administrative support to an executive at the Director General or equivalent level (or higher) within the Federal Public Service
Experience assisting an executive in the management of human resources, such as staffing, coordinating training/professional development and on-boarding employees
Experience coordinating or managing work plans or critical paths for projects and key deliverables
Experience developing PowerPoint presentations for executive-level meetings
