Duties

Acts as first point of contact to provide general and specific information about our clinical services over the telephone and by email, in both official languages, to clinic clients (federal government employees).

Provides administrative office services: manages medical files, photocopies, writes general correspondence and maintains statistics. Books appointments and maintains schedules for multiple health professionals using an in-house software system.

Work environment

The work is performed in an office environment and involves prolonged periods of sitting and eye focus when reviewing documents, using a computer and participating in meetings. Despite the current situation with COVID-19, it is expected that the successful candidate will work in the traditional workplace and not remotely.

Intent of the process

The immediate intent of this process is to fill one (1) position indeterminately at Health Canada. In addition, a pool of qualified candidates (fully assessed or partially assessed) may be established and may be used to staff similar positions at this group and level, with various security requirements, conditions of employment as well as various tenures (acting, assignment/secondment, deployment, indeterminate and/or specified period) within Health Canada and the Public Health Agency of Canada.

Education:

-High school diploma or an acceptable combination of education, training and/or experience.

Degree equivalency

Experience:

-Experience in reviewing client requests in order to ensure they are properly completed according to set procedures.
-Experience in providing services and clarifying processes to clients by phone and email.
-Experience managing a schedule and/or creating bookings in a busy work environment.

Asset Experience:

-Experience providing program and administrative services in a clinical environment.
-Experience using medical or specific software such as: NOHIS, Medgate, LRS, ATS, etc.

On October 6, 2021, the Government of Canada announced details of its plans to require vaccination across the federal public service. As per the new Policy on COVID-19 Vaccination for the Core Public Administration Including the Royal Canadian Mounted Police, federal public servants in the Core Public Administration and members of the RCMP must attest to their vaccination status. The requirement for employees to be fully vaccinated applies whether they are teleworking, working remotely or working on-site. This is a condition of employment and it applies to indeterminate (permanent), determinate (term), casual, and student hiring. Should you reach the point in the selection process where it is necessary to verify terms and conditions of employment then the hiring manager or a human resources representative will contact you in order to complete an attestation.

You must meet all essential qualifications in order to be appointed to a position.

Depending on the number of candidates, department’s needs or the human resources plans, candidate management strategies could be applied such as random selection, top-down approach, pass marks or cut-off scores at various steps in the process to determine the number of candidates who will continue in the process. The Department may also decide to use one or more of the asset qualifications to identify candidates who will advance to the next stage of the selection process.

Candidates may be required to meet the asset qualifications or the organizational needs, depending on the requirements of the specific position being staffed. Meeting one or many of the asset qualifications may be a deciding factor in appointing a particular candidate amongst the qualified candidates. Please note that some or all of the asset qualifications could be used at the screening phase.

Various means of assessment may be used (for example: interview, written exam, reference checks, performance assessments, achievement record), depending on the needs of the hiring manager.

Candidates are entitled to participate in the selection process in the official language of their choice (English or French).

To respect social distancing protocol, an interview will not be administered in person but the interview will be held using a video conference or video recording system.

Candidates will be required to provide proof of education credentials (i.e. scanned version of original diploma or transcript(s)). It is the candidate's responsibility to obtain the appropriate documentation from the recognized educational institution.
