Duties

Administrative Professionals within DFO’s Maritimes Region and are vital to the success of the directors, managers, and supervisors they support. This support assists our department in achieving our mandate to manage Canada’s fisheries and safeguard its waters.

Administrative Professionals roles provide assistance to staff and managers in a wide range of capacities, depending on the needs of the organization and as it relates to a particular work unit. Some positions require working as part of a team and some positions are more autonomous.

The duties of an Administrative Professional may include, but are not limited to, the following:
► Be the first point of contact for telephone calls, email messages, or in person enquiries;
► Receive, register, compile and distribute documents, and correspondence;
► Maintain files, records, databases, control/tracking and other reference systems;
► Make arrangements and ensure follow-up for logistical services (travel and meetings);
► Provide general office support services such as word processing, maintaining the office and filing systems, and ordering office supplies;
► Create contracts and purchase orders for the purchase of goods and services;
► Extract, reconcile, interpret and compile financial information for use by management.

Intent of the process

Results from this selection process may be used to staff temporary or permanent CR-04, AS-01 or equivalent positions in Dartmouth, Nova Scotia.

While most DFO Maritimes Region employees are currently working from home at this time, it is expected that as restrictions ease and a full return to the office is permitted, most Administrative Professionals will be expected to work primarily from the office to provide assistance in the office.

EDUCATION:

✔ Successful completion of secondary school (high school) according to provincial or territorial standards or general equivalency diploma (G.E.D.)

EXPERIENCE

STREAM 1: ENTRY LEVEL (CR-04) & STREAM 2: INTERMEDIATE LEVEL (AS-01)
✔ Experience providing services to clients, customers, supervisors, managers, etc.
✔ Experience preparing and editing correspondence, documents, reports, etc. in an office setting.

STREAM 2: INTERMEDIATE LEVEL (AS-01)
✔ Experience applying critical thinking* in an administrative role.
✔ Experience researching, extracting and compiling information from various sources.
✔ Experience providing financial support services which includes, but is not limited to:➊ Navigating and entering financial information into Systems, Applications, and Products (SAP), Wave, Quicken, or Sage; ➋ Verifying and correcting financial claims; and ➌ Preparing financial reports for management.

*Critical thinking is the objective analysis and evaluation of an issue in order to form a judgment.

👉 Part 3: Pre-Recorded Interview

Applicants who are successful on the online exercise will then be invited to complete a pre-recorded interview via VidCruiter, a third-party online platform. Applicants will be provided with a deadline to complete this pre-recorded interview and may complete it at a time and place that is convent for them, within the deadline. The pre-recorded interview may be completed on a desktop, laptop, tablet or cell phone.

Assessment schedules may differ depending on the position being staffed, resulting in some applicants being assessed before others.

👉 Part 4 & 5: Online Experience Questionnaire & Pool of Administrative Professionals Established

Once the assessment board has reviewed all material from the online exercise and pre-recorded interview to determine if you meet the common requirements for Administrative Professionals positions, you will be notified if your name will be placed into a pool for management to use when filling position vacancies. At that time, you will be provided with instructions on how to complete an online questionnaire (link to follow). The questionnaire will ask you to outline how you meet other experience that would be considered beneficial for the various Administrative Professionals positions. You will also be required to upload proof of your citizenship status and education credentials.

A hiring manager may be in contact with you directly to discuss your qualifications once position vacancies are identified.
