Assessment accommodation

Presently, the official location (designated workplace*) of the positons to be staffed is Gatineau/National Capital Region (NCR). However, due to the COVID-19 pandemic, the employees are required to work from home. When an eventual return to the workplace will be possible, there may be, at the manager’s discretion or based on operational requirements, a continued option or requirement to work from a different ESDC/Service Canada Office location or the employee’s residence. You will be required to answer screening questions to demonstrate how you meet the Essential Qualifications (Education and all Essential Experiences).
When answering the screening questions, it is not sufficient to say that you have the required qualifications or to list your current or past responsibilities. Rather, you must provide concrete examples of tasks you have accomplished with significant details to explain the WHAT, WHEN, WHERE and HOW you acquired each qualification.

For each experience criteria, please provide the following information:
1- Name of the department or organization where the experience was acquired;
2- Title of the position occupied, group and level and the period(s) in which you performed the functions (M-Y to M-Y)
3- Specific details of tasks or projects demonstrating how the experience was acquired (Situation/Challenge, Tasks, Action and Result)

Intent of the process

The intent of this selection process is to staff two type of positions/functions :

OFFICER, EXECUTIVE SERVICES

Develops, coordinates and controls the Senior Executive’s agenda. Monitors emerging issues affecting the day-to-day operations. Coordinates outgoing correspondence. Provides administrative logistics support. Participates in management meeting, summarize decision and action to be taken and monitors progress. Provides input to the development of the office budget; arranges for travel and monitors expenses. Input data and information into tasking and reporting systems.

OFFICER, BUSINESS SERVICES

Supports learning initiatives and projects through the coordination and processing of administrative, financial and human resource requirements (e.g., budget forecasts, expenditure reports, financial spreadsheets and contracts, etc.); Coordinates logistical arrangements and administrative support (e.g., call for nominations, registration, joining instructions, expenditure estimates, etc.) for internal and external learning services and training activities (e.g., corporate, common and mandatory training, operational training pilot sessions, train-the-trainer sessions, etc.).

A pool will be establish and may serve to staff similar position within ESDC.

EDUCATION

Secondary school diploma or an acceptable combination of education, training and/or relevant experience.

Degree equivalency

EXPERIENCE

Experience in the use of Microsoft Office software such as Word, Excel, PowerPoint, and Outlook.

Significant* experience in the provision and coordination of administrative services** to a manager or team.

*Significant is defined as a minimum of 2 years of experience.

**Administrative services is defined as, but not limited to: the collection and consolidation of information for the production of various reports, coordination of document approval, planning and coordination of meetings, drafting minutes, monitoring expenses and maintaining a budget, managing schedules and e-mails or other related duties.

ASSET QUALIFICATIONS

Experience drafting and/or editing correspondence and using document-tracking systems, such as WebCIMS.

Experience using PeopleSoft or SAP.

Experience monitoring, forecasting and controlling a budget.

Experience coordinating projects.

Experience in booking domestics or international travel arrangements and completing travel expenses claims forms.

Experience organizing meetings and coordinating meeting material ( i.e teleconference, videoconference).

Experience in support of functions in Human resources and financial requests.
