For this selection process, our intention is to communicate with the candidates by email. Duties

Case & Subject Records Clerk: Analyses, creates, maintains, transfers and controls physical and electronic case records, including retrieval and disposal services. Classifies and codes all incoming information. Processes incoming and outgoing mail and provides reception and switchboard duties.

Regional Communications Assistant: Provides a variety of administrative services for the Communications and Training Department. Co-ordinates a regional observer program for the public, victims, media and criminal justice partners. Responds to inquiries and provides information services to the public, victims, and Parole Board of Canada staff.

Assistant, Indigenous Initiatives: coordinates the scheduling, travel arrangements and payment of contracted Elders across the Prairie Region for Elder and Community-Assisted Hearings, training activities and meetings. They further provide administrative services to facilitate the operation of the Indigenous Initiatives Unit, including support and travel services to the National Advisor, Indigenous Initiatives. Coordinates activities of the Unit to ensure the smooth functioning of Unit workload: arranging details of meetings, workshops, citizen engagement and training sessions of the Indigenous Initiatives Unit and assisting with management projects.

Case Review Clerks: Work in a team environment in the case management Unit, assisting in the execution of PBC’s conditional Release program mandate. Highlights of the key activities for Case Review Clerks include, but are not limited to, the following; Schedule reviews for paper/panel decisions; Processes waivers, withdrawals, postponements and applications and enters data into PBC Integrated Data System (IDS); Verifies admission sheets and amendments, transfer in/out files and takes follow-up action; Reviews offender case files for availability of documentation; and reviews, edits and types the final decision and reasons into the IDS database.

Intent of the process

The intent of this process is to establish a pool of partially or fully qualified candidates for future needs. The pool will be used to staff positions on a permanent (indeterminate) or temporary basis (acting, specified period appointment, assignment, secondment or casual) within the Parole Board of Canada in the Edmonton & Saskatoon Region. The linguistic profile and tenure may vary depending on the position being staffed.

The immediate need is to staff:
- One (1) Bilingual - imperative (BBB/BBB) position in Saskatoon.
- One (1) English essential position in Saskatoon.

EDUCATION:

ED1 - Successful completion of two years of secondary school or employer-approved alternatives (see Note 1).

NOTE:

- An acceptable combination of education, training and/or experience.

Degree equivalency

EXPERIENCE:

EXP1 - Experience working with MS word, Outlook and Excel in an office environment.

EXP2 - Experience providing *administrative support services in an office environment.

NOTE:
* Administrative support services refers to activities that support the day to day operations of an organization; these generally include (but are not limited to) scheduling, managing and distributing information within the office, entering/tracking information in databases, answering phones, booking travel, managing meeting logistics, electronic information management, scanning documents, tracking budget expenses, minutes, etc.

ASSET QUALIFICATIONS:

AEXP1 - Experience in at least three of the following record and file management tasks: filing; opening files; maintaining files; processing records; retrieving files or records; applying file retention and disposal schedules; archiving files.

AEXP2 - Experience in mail management. Mail Management is defined as the processing of incoming and outgoing mail.

AEXP3 - Experience in using an electronic file tracking system.

AEXP4 - Experience in digitizing documents as well as naming, retrieving and storing this information on an electronic medium.

AEXP5 - Experience using Offender Management System or the Integrated Decision System.

AEXP6 - Experience working in the criminal justice system in the public sector.

AEXP7 - Experience working with Indigenous Elders, communities and/or organizations.

AEXP8 - Experience providing administrative support services as it relates to victims of crime.

OPERATIONAL REQUIREMENTS:

- Must be able to lift and carry files and boxes of up to 20 kg.

- Willingness and ability to work overtime

- Be able to examine documents that may contain disturbing and/or offensive information
