These positions offer the possibility of flexible work hours, compressed work week, and telework (based on operational requirements).

Depending on the position to be staffed, the job duties can include:

• Supervising and coaching a team of 2-7 (virtual and/or on-site) administrative assistants and officers
• Developing detailed operational plans for management with financial recommendations aiming to improve the organization’s performance against objectives, budgets and ad-hoc challenges
• Performing a variety of financial duties in accordance with Government of Canada and departmental policies, regulations and procedures. Examples include: leading the input of financial data, performing invoice and cost recovery processing, conducting data reconciliation between various systems and completing reports
• Coordinating and delivering training sessions virtually or in person
• Maintaining and managing capital assets such as fleet vehicles including ensuring inspection, registration and driver form completion
• Liaising with Accommodations, Facilities, and Security to assist with building access and maintenance for regional offices

Intent of the process

This process will be used to establish a pool of partially or fully qualified candidates, which may be used by Immigration, Refugees and Citizenship Canada to staff similar positions at an equivalent group and level with various linguistic profiles, various security profiles and various tenures across Canada.

EDUCATION

ED1. A secondary school diploma or employer-approved alternative.*

Degree equivalency

EXPERIENCE

EX1. Significant* experience in providing administrative support services in FINANCE and at least two of the following areas:
• Human resources and/or;
• Security and/or;
• Accommodations and/or;
• Project management and/or;
• Travel arrangements and/or;
• Training coordination and/or delivery and/or;
• General office administration.

EX2. Significant* experience in gathering, analyzing information and providing advice to management**.

* "Significant" is defined as the depth and breadth of experience normally associated with the performance of the duties for a period of approximately 12 months on a full-time basis.
** “Management” is defined as a person holding a manager position or above.

ASSET EDUCATION

AED1. Post-secondary diploma from a recognized institution in one or more of the following areas:
• Human resources or;
• Finance or;
• Project management or;
• Administration.

Degree equivalency

ASSET EXPERIENCE

AEX1. Significant* experience in interpreting and applying policies and procedures.

AEX2. Experience supervising a team. Examples of responsibilities may include, setting work objectives, assigning tasks and monitoring workload, performance management, approval of leave and training, etc.

AEX3. Significant* experience in working with the SAP/Salary Forecasting Tool (SFT) (or equivalent) financial system.

AEX4. Experience in drafting and editing a variety of written materials for management**.

** “Management” is defined as a person holding a manager position or above.

OPERATIONAL REQUIREMENTS
