As Project and Administration Officer you will be responsible for the coordination, monitoring and of Security activities, reporting under minimal supervision. These activities include:
• Data input and maintenance of electronic data base of security related information;
• Coordinates and explains the personnel security screening procedures to clients, managers, supervisors and departmental employees; Also reviews security documents for completeness and takes appropriate action if not completed properly;
• Maintenance and issue of ID cards and badges required by employees and monitors adherence to related departmental policies;
• Prepares, compiles and maintains various computerized and manual records by generating reports;
• Assists with financial, human resources and general administrative systems and processes;
• Monitors and responds to generic security office email inbox;
• Coordinates security briefings;
• Assists during exercises and emergency situations; and
• Assists during security incidents.

You will be working directly with a team that supports the Director, Centre of Expertise in a Headquarters environment. As an administrative assistant, you will be responsible for providing administrative assistance to corporate files and security clearance screening.
The intent is to staff one indeterminate position.
A pool of qualified candidates (fully assessed or partially assessed) will be established and may be used to staff similar positions at this group and level. This process may be used for various positions and tenures (including but not limited to term and indeterminate appointments, internal assignments, secondments, deployments, acting appointments) as well as various locations, security requirements, language requirements and conditions of employment.

Education:
• Successful completion of secondary school education according to provincial/territorial standards or employer-approved alternatives, such as a combination of education, experience, and/or training.
Experience:
• Recent* and significant** experience in general office administration; such as, arranging meetings (in-person and virtual), preparing background material for meetings, making travel arrangements, managing calendars, and receiving and directing telephone calls.
• Experience with general security services and screening.
• Experience communicating policies or directives.
• Experience in utilizing computer software and office suites such as: Microsoft Office Suite, Adobe Acrobat and spreadsheet software.
*Recent experience is defined as experience obtained within the past two (2) years.
** Significant is defined as relevant experience normally acquired through the full time performance of duties for at least two years.
Asset Criteria:
• Successful completion of post-secondary school education.
• Experience in the delivery of a security screening program and services to a federal government department or agency.
• Experience in programming to maintain automated notifications and web functions.
• Experience using GCDocs.
• Experience working with PeopleSoft or other Human Resources system.
• Depth, breadth and scope of experience in any one or combination of the experience requirements.
