The Case & Subject Records Clerk is responsible to process incoming and outgoing mail for the Parole Board of Canada office. The Clerk is responsible to analyse, code and index incoming documents. In addition, the Clerk is responsible to analyse, create, maintain, transfer and control physical and electronic case records, including files and audio/video cassettes. The clerk will also conduct file inspections to ensure that files are complete and records are correctly classified.
The Case Review Clerk is responsible for processing applications, waivers, withdrawals and postponements for parole and to schedule reviews for paper/panel decisions. They are also responsible for routing electronic files to Board Members and to proofread, record and share print decisions. They respond to offender letters and letters from offender supports. Case Review Clerks also respond and process offender requests for audio recordings. In this position, you will liaise with Correctional Service of Canada staff.
The Regional Communications Assistant (RCA) is responsible to provide communication services about conditional release, victim’s services and record suspensions and to coordinate the regional observer program at hearings. The RCA is responsible to maintain an electronic victim database, produce and process statistics in coordination with case files and to distribute public education resource material.

The immediate need is to staff one (1) full time, indeterminate position (Case Review Clerk).
As a result of this selection process, a pool of qualified candidates may be created to staff positions of various tenures such as (indeterminate, deployment, specified period appointment, acting, assignment or secondments) and with various language profiles.

EDUCATION:
Successful completion of two years of secondary school or employer-approved alternatives.
The employer-approved alternatives to two years of secondary school are:
- A satisfactory score on the Public Service Commission test approved as an alternative to two years of secondary school; or
- An acceptable combination of education, training and/or experience.
EXPERIENCE:
- Experience in using computer programs or software such as Outlook, Excel or Power Point.
- Experience in data entry.
- Experience in extracting pertinent information from documents, files or policy and taking follow-up actions.

ASSET EXPERIENCE:
- Experience in using specialized information management software, such as Documentum records Manager, Foremost, RDIMS, IRIMS, Livelink, eDocs, Hummingbird or GC Docs.
- Experience in digitizing documents as well as naming, retrieving and storing this information on an electronic medium.
- Experience in using the Offender Management System (OMS) or the Integrated Decision System (IDS).
- Experience working directly with senior management.
- Experience in classifying and filing records in a records office or in a file handling setting.
Reliability Status security clearance
CONDITIONS OF EMPLOYMENT:
- Must be able to work with old documents that may be dusty.
- Must be able to review documents containing offensive or disturbing information.
