How to apply?
Any information that you provide throughout the process may form part of the assessment, which includes:
1. Screening questionnaire: A summary of past experience, including the situation, action and result must be included in your responses to the screening questionnaire. The screening questions will be used as the primary tool in the screening process and the résumé will only be used to substantiate the information provided. In your response to the screening questions, you will be required to provide concrete examples such as details of tasks, projects, or accomplishments demonstrating how the experience was acquired.
2. Validation of past performance: The names of two (2) supervisors.
For public servant applicants only, performance management agreements from the past two (2) fiscal years may be requested.
3. The Unsupervised Test of Judgment (TOJ-374) will be administered in support of our assessment, as a pre-assessment tool. Those successful on the unsupervised pre-test will be required to pass the supervised version of the Test of Judgement (TOJ-375) later in the process.
• The Supervised Test of Judgement (TOJ-375) will be used in combination with other methods, which may include but not be limited to: interviews and verification of past performance and credentials (e.g. performance results and/or reference checks).
The key activities:
• Manage the agenda of senior management;
• Monitor emerging issues affecting day-to-day operations;
• Identify problems or concerns and identify solutions;
• Coordinate correspondence, such as parliamentary questions, notes, calendar of events, ministerial correspondence for review by management;
• Prepare presentation materials for meetings and committees;
• Provide logistical support, record and monitor decisions and recommend action or follow-up on commitments;
• Develop and implement guidelines and procedures to manage the flow and ensure the quality of documents;
• Provide administrative support at management meetings, such as meeting minutes, summarize decisions and monitor progress;
• Maintain effective working relationships with senior management, colleagues and other stakeholders.

EDUCATION:
A secondary school diploma or an acceptable combination of education, training and/or experience in administrative services.
EXPERIENCE AS01, AS02 and AS03:
EXP1: Experience in delivering administrative services (e.g. managing calendars, coordinating meetings, business activities, documents and correspondence) or academic experience gained through an Office Administration program from a recognized post-secondary institution.
EXP2: Experience in delivering client service (clients may include: management, employees, citizens, or other stakeholders).

EXPERIENCE - AS02 and AS03 ONLY:
EXP3: Experience in coordinating travel, human resources and/or financial arrangements for management and staff (e.g. providing supporting role in processing travel claims and reimbursements; human resources activities, financial activities and reports).
Education:
AEDU1: Graduation with a diploma or a certification in Office Administration from a recognized post-secondary institution.
AEDU2: Degree from a recognized post-secondary institution.
Experience:
AEXP 1: Experience in the provision and coordination of administrative services in a senior executive office.
AEXP 2: Experience handling Access to Information and Privacy (ATIP) requests.
AEXP 3: Experience in coordinating input for ministerial or parliamentary correspondence.
AEXP 4: Experience in coordinating events, conferences, interviews or committees for internal and external participants.
AEXP 5: Experience in financial analysis and in the preparation of financial reports using an integrated financial system.
AEXP 6: Experience in providing support for human resources activities or processes using HR systems.
AEXP 7: Experience in supervision.
AEXP 8: Experience in providing support to executives.
AEXP 9: Experience coordinating and tracking departmental or ministerial correspondence using a correspondence tracking system.
AEXP 10: Experience providing support to senior management governance committees.
AEXP 11: Experience in using collaboration and visual business intelligence tools.
AEXP 12: Experience in project coordination or project portfolio management.
AEXP13: Advanced experience in computer programs and systems (e.g. Microsoft Word, Excel and Outlook).

Applicants must successfully write PSEE - Test of Judgement (TOJ).
Applicants must complete the Public Service Entrance Exam: Test of Judgement Unsupervised Internet Test as part of the screening for this selection process. This test assesses the judgement required for solving problems in work-related situations. You will have 75 minutes to complete the test. You must complete the test before you submit your application for this position.
