Duties

- Maintains both paper and electronic staffing files, ensuring that all required documentation is on each file.
- Prepares staffing related documents to be reviewed by the HR Advisor (incl. letters of offer, invitations,
result letters)
- Corresponds and responds to inquiries from candidates and managers.
- Works within the Public Service Resourcing System to draft all Posters and Notifications.
- Reviews all documentation sent through the Staffing Trusted Source to be sent to the Public Service Pay Centre.
- Inputs all PeopleSoft (My GCHR) data entry in relation to staffing processes and appointments (including employee pay related data).
- Arranges and coordinates logistics for scheduling of interviews and exams/testing.
- Provide support and works closely with HR Advisors and the HR Coordinator. These working relationships may be virtual.

Intent of the process

This is an inventory process. A pool of qualified candidates will be established and may be used to staff similar term, and/or permanent positions.

Education:
Successful completion of secondary school according to provincial/territorial standards or an acceptable combination of education, training and/or experience.

Degree equivalency

Experience:
- *Significant experience providing administrative support in an office environment.
- Experience in the use of various software programs such as MS Word and Excel.
- Experience entering data into an information management system such as Peoplesoft, Freebalance, SABA, SAP or SIGMA.

* “Significant experience” refers to the depth & breadth of experience normally associated with performance of the duties on a continuous basis over a period of approximately 12 months.

Asset Qualifications:
- Graduation with a degree from a recognized university with acceptable specialization in human resources management, labour or industrial relations, psychology, public or business administration, organizational development, education sciences, social sciences, sociology.
- Experience as an Human Resources Assistant in Staffing.
- Experience using Peoplesoft to input and extract staffing data and in identifying and correcting data anomalies.
- *Experience providing administrative support in an **fast paced office environment.

**”Fast paced” refers to an environment in which employees are asked to balance many tasks back-to-back or simultaneously where there may be very little downtime and the workflow may be high.
