Duties

The expectations of the positions to be filled are to provide operational services, advice and guidance to a recognized clientele (areas of the organization) in Information Management (IM) field. This includes analysis, research, organization, access and retrieval of information.

Coordinators are responsible for assisting and guiding managers/clients in the development of information plans to ensure that these plans are consistent with the overall IM orientation; and interpreting CSA and central agency policies, principles, guidelines and procedures regarding the implementation and maintenance of an IM program. They are responsible for developing and updating IM guidelines for clients and staff, providing training and awareness sessions, and reporting on the use and implementation of IM rules and tools to ensure compliance.

They are also responsible for monitoring IM activities; identifying inefficient practices; conducting quality assurance audits to ensure that documents are exhaustive, properly identified and protected; and recommending corrective measures.

In addition, the coordinator, as the person responsible for the entire organization, must provide service delivery, and advice and guidance in one or more of the following areas:
• policy/plan development and guidelines/procedures applicable to the entire organization and produces related reports;
• project management of large-scale projects affecting the entire organization;
• management of the life cycle of electronic and physical documents, including archiving;
• operations management of electronic systems supporting IM.

Depending on the scope of the field for which the incumbent is responsible, he or she may be called upon to supervise the work of one to three subordinates.

Intent of the process

EDUCATION

Degree equivalency

EXPERIENCE

• Recent and meaningful (*) experience in records management or library work.

• Experience in the processing and filing of documents in an electronic document management system.

• Experience in providing advice to management in a field related to the position.

* Meaningful and recent is defined as a depth and breadth of experience normally found in someone who has been working for approximately one (1) year over the past two (2) years approximately.
