Intent of the process

The intent of this selection process is to create a pool of qualified candidates to be used to staff position(s) in the offices of Regional Director General/Associate Regional Director General and Fisheries Management. A pool of qualified candidates will be established and may be used to staff these positions and other similar or lower level positions on an indeterminate, Specified Period (Term) and Acting basis within Fisheries & Oceans, Newfoundland & Labrador Region.

Education:

Successful completion of a post-secondary school diploma with a specialization in Business or Office Administration Studies, or an acceptable combination of education, training and/or experience. (Acceptable combination secondary school with at least 5 years of experience and training.)

Degree equivalency

Experience:

Experience in communicating with internal/external clients/stakeholders.

Experience using software applications including Microsoft Outlook, Word, Excel and PowerPoint.

Experience in managing correspondence/information, including proofreading and editing correspondence for the purpose of quality.

Experience in planning, organizing and prioritizing.

Experience in analyzing, consolidating and summarizing information.

Abilities:
Ability to Communicate in writing.

Asset Qualifications:

Experience in using correspondence tracking systems such as but not limited to EKME, CGDOCS, GCCMS.

Experience in Document, Data or Information Management.

Experience in the use of financial tracking systems such as but not limited to SAP, ORACLE, MRS and/or Abacus.

Experience in monitoring budgets and conducting analysis to make recommendations.

Experience in the use of travel management system to make travel arrangements and produce travel expense claims.

Experience in communicating with senior level positions in government and/or private sector.

Experience in working with the policies and procedures associated with ministerial correspondence.

Experience in processing Access to Information and Privacy (ATIP) requests.

Experience in providing administrative support in the area of contracting, procurement or material management.

Experience in entering and extracting data from various sources to prepare reports.

Experience in reviewing, researching and gathering information from various sources to inform managers.

Experience in the preparation and provision of minutes and records of decisions.

Experience in managing the agenda and coordinating the daily operations and activities of a Senior Official’s office including: organizing meetings, maintaining calendars, managing emails, making travel arrangements and claims, purchasing goods and providing financial information and advice.

Experience in assessing priorities and needs and in dispatching/assigning action request on behalf of senior officials to appropriate personnel for action and follow-up.
