Duties

The AS-05 Leasing Agent is responsible for:
• providing real estate expertise and advice to project teams for planning, implementation and delivery of leased accommodation projects and services;
• conducting market research and preparing terms of reference for contracting of market reports and/or preparing lease attestations;
• tender process and direct negotiation for lease acquisitions, surrenders and lettings;
• conducting site visits with the project team to assess properties;
• reviewing, analyzing and evaluating offers received and consulting legal services;
• preparing lease contract documents for approval and execution;
• representing the Department and/or the client at meetings with building owners, contractors and agents to discuss and resolve issues.

In addition to the above the AS 06 Senior Leasing Agent is responsible for:
• providing advice in support of development of strategies for satisfying large and complex accommodation requirements
• providing guidance and mentoring less senior Leasing staff
• developing and documenting best practices
• leading complex lease projects
• conducting lease negotiations for large and complex projects

The Property & Facility Manger (AS-05) and Real Property Contract Administration Manager (AS-05) is responsible for providing property & facilities and project management advisory services including the monitoring and quality control of property management service contracts. Establishing and maintaining effective communication links with all stakeholders is critical as well as monitoring and maintaining financial budgets.

Intent of the process

It is expected that the initial hiring will be for a Leasing Agent (AS-05) and a Senior Leasing Agent (AS-06). A pool of qualified candidates will also be established to fill other positions as they become available, such as: Property & Facility Managers (AS-05) and Real Property Contract Administration Manager (AS-05). These positions could be of various tenures (such as permanent, specified period or casual).

EDUCATION
A secondary school diploma, OR an acceptable combination of education, training and/or experience working in a real property field.

Degree equivalency

EXPERIENCE **FOR ALL POSITIONS**:
A minimum of two (2) years' experience within the last five (5) years in at least one (1) of the following areas:
* Real property management;
* Lease administration;
* Real Property Portfolio Management;
* Construction Project Management;
* Leasing of office space from a tenant perspective (tenant representation); or
* Contract Administration
(A combination of the above experiences totalling a minimum of two (2) years in the last five (5) years is also acceptable, for example: one (1) year Lease Administration, six (6) months of Portfolio Management and six (6) months of Real Property Management.)

EXPERIENCE FOR AS-06 POSITION ONLY
Recent experience providing mentoring or leadership to a work unit or project team.

Recent and significant experience in lease negotiations.

For the AS-06 position, "recent and significant" refers to a minimum of two (2) continuous years of experience performing the duties on a full time basis within the last five (5) years

Accreditation from an accepted realty related organization, such as: Certified Leasing Officer (CLO), Real Property Administrator (RPA), Certified Property Manager, (CPM) registered in Building Owners and Managers Association (BOMA) Facilities Management Administrator (FMA), International Facility Management Association (IFMA), Certified Facilities Manager (CFM), Certification as a Project Management Professional (PMP) from the Project Management Institute, Certified Commercial Real Estate Advisor (CCREA), Certified in Real Estate Finance, (CRF)

EXPERIENCE:
Five (5) years' experience in at least two (2) of the following areas:
* Real property management;
* Lease administration;
* Real Property Portfolio Management;
* Construction Project Management;
* Leasing of office space from a tenant perspective (tenant representation); or
* Contract Administration
