ABOUT THIS OPPORTUNITY:
Fisheries and Oceans Canada (DFO), which also includes the Canadian Coast Guard (CCG), is looking for dynamic and motivated clerical and administrative staff! Managers are often looking for competent, experienced people to fill clerical and administrative positions on short notice and for short periods of time. By applying to this inventory, you are submitting your candidacy for TEMPORARY WORK known as term or casual employment.

Here are a few examples of key activities that you could possibly be required to assume in a clerical or administrative position:
• Deliver general clerical and office services to one or more managers;
• Act as a first point of contact to internal and external clients by answering questions which could come in the form of telephone calls, email messages, or in person inquiries;
• Receive, register, compile and distribute documents, correspondence and communications related material via hard copy and electronic mail;
• Maintain files, records, databases, control/tracking and other reference systems;
• Input data to and maintain departmental systems for financial, asset management, human resources, administrative information etc..;
• Make arrangements and ensure follow-up for logistical services (travel, conferences, meetings, etc.);
• Provide general office support services such as word processing, maintaining the office and filing systems, mail and reception, controlling taxi chits, processing claims and Access To Information and Privacy requests, ordering office supplies;
• Assist with the creation of contracts, entering purchase orders and purchasing goods and services;
• Extract, reconcile, interpret and compile financial information for use by management

This inventory is primarily for casual employment which is temporary employment of 90 working days or less, in a calendar year per federal department. In certain circumstances, longer-term temporary employment (term positions) may be offered.

Here are the qualifications that Managers are looking for. Your application should demonstrate that you have the experience and education that we are looking for. Candidates who have these qualifications may be randomly selected to be assessed further on some of the other essential qualifications:
EDUCATION
• Successful completion of secondary school (high school) according to provincial or territorial standards or general equivalency diploma (G.E.D.)
EXPERIENCE
• Previous experience in providing clerical support in an office environment for a period of at least three (3) consecutive months.
• Experience providing service to internal or external clients / general public, via telephone, in writing or in person.
There are other qualifications that Managers are sometimes looking for, depending on the position being staffed, and the anticipated need of the work that needs to be completed. These qualifications are not required for all positions but they may be a deciding factor in who may be offered a position:
• Successful completion of two (2) years post-secondary education from a recognized educational institution (e.g. community college, CEGEP, university) in a field related to the position being staffed (i.e. administration/clerical field).
• Experience in committing funds and inputting data into a financial system.
• Experience in the procurement (purchasing) of goods and services.
• Experience providing financial support services in one (1) or more of the following. Please write one paragraph per activity that you have experience in. Be sure to provide details so that we can get a sense of the depth of your experience :
- Reconciling financial transactions;
- Verifying and paying invoices;
- Extracting, reconciling, interpreting and compiling financial information;
- Preparing budgets and financial spreadsheets;
- Creating contracts and/or purchase orders.
• Experience in providing administrative support services to senior management (such as a Director, Vice President, CEO etc.).
• Experience in business travel support services (such as making travel arrangements, preparing itineraries, and processing travel claims).
• Experience coordinating the organization and the logistics of meetings,
teleconferences, seminars or workshops.
