Duties

Greeting and receiving claimants and counsels, verify identity, any information and documents, update the electronic database, directs the parties to assigned hearing rooms, prepares and maintains supplies in the hearing rooms and resolves issues, so that proceeding can proceed as scheduled. Perform file management activities, including file creation, B.F.'s to verify receipt of documents, verification of accuracy of information, update, retrieval, transfer and verification of physical and electronic files, and charge out for appropriate action/process required. Providing a variety of general support services and assist with processes to confirm readiness to proceed, obtain, assess and compile general or specific information; review and distribute incoming correspondence and determine urgency. Process application requests, such as change of location, time extension to submit Personnal Information Form, and take initiatives within the unit/team to support the operations respecting issues such as application requirements, processes, time frames and case decisions. Prepare and ensure quality control of Notices to Appear and information in the systems accordingly throughout the process. Monitor the schedule of proceedings for any changes, notify Team members of discrepancies and/or Deputy Registrar of problems and update the electronic database. Fill out attendance sheet and data entry in the system to confirm the attendance of counsels and perform change of address of claimants or any relevant information provided by clients. Respond to general enquiries from internal and external clients on processes and status of cases, or refers more complex cases to the Case Management Officer or supervisor. Provide support all through the day, including going to the room to resolve technical problems, make photocopies, etc. Prepare Federal Court files
