Assessment accommodation

Duties

This process will be used to fill various administrative positions for temporary (casual) and specified period (term) within the Office of the Chief Electoral Officer. Below is a brief description of the main positions to be staffed.

ADMINISTRATIVE OFFICER
-Provide information and support to managers and employees on administrative requirements.
-Research and analyze information in order to draft correspondence, reports, meeting documents and presentations.
-Prepare meeting agendas and coordinate the organization of meetings or small events.

PROJECT ASSISTANT
-Provide administrative support to the project team by coordinating, monitoring and tracking project-related activities, which may include financial tasks.
-Guide colleagues on administrative procedures.
-Provide information, documentation, and analysis results on various project-related procedures.
-Perform operational duties such as drafting texts and making revisions for various documents; and drafting evaluations on the impact of proposed or adopted legislative amendments.

CALL CENTRE AGENT/ ENQUIRIES OFFICER
-Respond to enquiries from the public by phone or email.
-Produce statistical reports and track the status of enquiries for reporting purposes.
-Scan the Web for social media posts related to elections.
-Provide guidance to the public on registering to vote, voting procedures and the electoral process.

SENIOR ACCOUNTING CLERK
-Process accounts payable and receivable, reconcile accounts and prepare financial reports.
-Provide guidance to new staff on the resolution of transactions and oversee the work of data entry clerks during electoral events to ensure the accuracy of data.
-Enter revenue and expenditures into financial systems.

HUMAN RESOURCES ASSISTANT / COMPENSATION ADVISOR
-Provide administrative support in the area of human resources, such as in staffing and compensation.
-Conduct research and analysis in support of staffing or compensation activities.
-Respond to enquiries and provide information on staffing procedures, compensation entitlements, etc.
-Perform various duties, such as preparing job advertisements, organizing candidate assessments, drafting letters of offer, determining employee compensation entitlements and processing requests.
-Maintain files and collect and enter data in human resources management systems.

CENTRAL, MODERN AND UNIQUE OFFICES
Depending on your position, you will work in one of our offices in Gatineau or Ottawa.

Our building at 30 Victoria Street in Gatineau is in the heart of downtown, with several restaurants nearby. It has modern facilities featuring collaborative workspaces. There’s also a locker room with showers and secure indoor bike storage.

The warehouse at 440 Coventry Road in Ottawa is the workplace of our Alternative Voting Methods team. It also houses our Distribution Centre. There are many benefits to this location as well, such as free parking, easy access to public transit and reserved space for bikes. Plus, the St. Laurent Shopping Centre, just next door, offers a variety of amenities.

Intent of the process

The intent of this process is to staff temporary (casual) and specified period (term) bilingual and unilingual positions for a period between 3 to 12 months. Please note that we will consider only candidates available for a job offer of 12 months or less.

A pool of qualified bilingual and unilingual candidates may be established to fill positions at the same or equivalent group and level at the Office of the Chief Electoral Officer, on a temporary (casual) and specified period (term) basis.

Experience in providing administrative support services*.

*Administrative services include but are not limited to: managing schedules, planning and organizing meetings or teleconferences, preparing and filing records for meetings and related documentation, establishing and maintaining filing systems, data entry, paying invoices, preparing hiring documents, obtaining office equipment or supplies, assembling, receiving or shipping forms or supplies and other related tasks.

**Client services include but are not limited to: answering client calls or emails, providing information to clients via social media or other communication channels, providing assistance to clients, serving the public, etc.

ASSET QUALIFICATIONS
-Experience in using Microsoft Excel or other similar spreadsheet software such as OpenOffice, LibreOffice, or Google Sheets for data entry and spreadsheet manipulation.
-Experience working in a call centre.
-Experience in providing human resources services (for example : staffing, compensation, talent management and learning).
-Experience in providing financial services.
-Knowledge of digital media and online research tools, techniques and principles.
-Digital competency.
-Ability to use Microsoft Excel, Word and/or PowerPoint.
-Proficiency in the use of other languages such as Tagalog, Arabic, Punjabi, Urdu, Farsi, Russian, Korean, Mandarin, Cantonese, Indigenous languages (Inuktituk, Cree, Anishinaabemowin (Ojibwe) or others) and other languages commonly spoken in Canadian homes.
