POSITION LOCATION / WORK ARRANGEMENT:
Due to the nature of the work and operational requirements, this position requires physical presence at the designated work location, and as such, the successful candidate will be required to perform some in-office work at the Toronto business location. The option of teleworking is available on a part-time basis in accordance with OSFI’s Guidelines on Telework. Teleworking arrangements are determined on a case-by-case basis depending on the nature of the work, the operational and business needs, as well as the candidate’s work preferences.

Duties

The Executive Assistant coordinates a wide range of administrative functions and activities which support the Deputy Superintendent. The role is accountable for the day-to-day administrative and financial management of the Deputy Superintendent’s office and in this context, requires considerable knowledge and understanding of the mandate and work of OSFI and particularly, the work of the Supervision Sector. The role makes use of specialized skills to coordinate elements of assigned projects and to assist with business planning and budget administration responsibilities. The role requires considerable independence, well-developed interpersonal and time management skills in order to respond effectively to changing work demands and priorities of an Executive Committee member.

• Successful completion of post-secondary education OR completion of secondary education and approximately 3-5 years of applicable work experience.

• Recent* and significant** experience liaising and coordinating with external and internal stakeholders on a wide variety of matters.
• Recent* and significant** experience in creating and controlling the quality and accuracy of various documents and/or administrative forms.
• Recent* and significant** experience in planning executive-level meetings and/or events, including booking travel arrangements, and drafting agendas and meeting minutes for an executive audience.
• Recent* and significant** experience in coordinating and performing administrative duties, budget and project activities in an executive*** office, or for an executive member of the organization.

• Experience in managing, processing and filing of documents in an electronic document management system.

* Recent is defined as relevant experience acquired in the last two (2) years.
