Duties

The key activities of an Administrative Officer is to provide administrative support, including but are not limited to boardroom bookings, taking and distributing meeting minutes, preparing funds commitment requests, creating purchase orders, processing invoices, tracking and monitoring expenses, reviewing and analysing reports, following up with internal and external clients, and reporting issues to management.

The intent of this appointment process is to establish a fully assessed pool of qualified candidates. However, the results of this process may be used to staff same or similar positions for future vacancies of various tenures at Public Services and Procurement Canada in the Ontario Region.

In order to be considered, your application must clearly explain how you meet the following (essential qualifications)

A secondary school diploma* or an acceptable combination** of education, training and/or experience.

*Secondary school diploma obtained by December 2022 will be accepted.

**An acceptable combination is defined as training courses relevant to the position along with 2 years of work or volunteer experience relevant to the position.

Degree equivalency

Experience in providing general administrative or clerical support services in an office setting or virtual office environment.

Experience in using Microsoft Office (Word, Outlook, PowerPoint, or Excel) or similar software.

If you possess any of the following, your application must also clearly explain how you meet it (other qualifications)

Diploma or Certificate from a recognized post-secondary institution with an acceptable specialization in office administration or in another field relevant to the position to be staffed such as Human Resources, Business, Finance, Communications etc.

A degree from a recognized post-secondary institution.

Degree equivalency

Experience performing accounts payable or accounts receivable related tasks such as preparing purchase orders or contracts, budget tracking/forecasting, experience issuing and/or paying invoices.

Experience coordinating meetings and/or workshops such as organizing meeting logistics, agenda creation, taking records of decisions/meeting minutes, tracking action items etc.

Experience using Systems Applications and Products (SAP)

Experience managing correspondence and confidential information.
