Duties

Administrative support positions provide assistance to staff and managers in a wide range of capacities, depending on the needs of the organization and as it relates to a particular work unit. These duties may include, but are not limited to, the following:
• coordinate meetings, teleconferences, web-based on-line meetings, schedules or presentations,
• record keeping/taking, record maintenance/filing, data input (including electronic records),
• research, compile and/or verify reference material, correspondence or other sources of information,
• provide service and assistance to internal and external clients via phone calls, emails and in person encounters,
• organize requests for travel, fleet vehicles and purchases,
• create and/or review expense claims, expenditures, invoices, reports and payments.

As an Administrative Support individual, you will require strong interpersonal, communication and organizational skills as well as attention to detail and flexibility. If you are dedicated to helping others, learning new things and taking on challenges, then this important role is for you.

Work environment

Please be advised this process will be used to staff positions in the new department of Indigenous Services Canada. The creation of Indigenous Services Canada is an important development in our renewed relationship with Indigenous peoples. Due to the COVID-19 Pandemic, some employees of Indigenous Services Canada are currently working remotely. The department is actively working on a flexible, phased approach for the safe return of employees to their usual workspaces. Therefore, this opportunity may initially be a remote working opportunity. When it is deemed safe to return to the workplace, the opportunity will be located in an Indigenous Services Canada office located in Edmonton, AB.

Intent of the process

A pool of qualified candidates will be established and may be used to staff similar positions at this group and level with various language requirements, (English or Bilingual Imperative), various security requirements, various conditions of employment as well as various tenures (acting, assignment/secondment, deployment, term and/or indeterminate) in the Alberta Region within Indigenous Services Canada.

Degree equivalency

EXPERIENCE:
1. Experience analysing information and resolving problems in a customer service environment.
2. Experience in using one or more of the following: word processing software, spreadsheet applications, online data retrieval applications, such as Microsoft Word, Excel, email, and Google Docs, etc.

ASSET EXPERIENCE:
(Not essential, but preference may be given to candidates who possess asset qualifications)

1. Experience working with First Nations, Inuit, and/or Métis.

2. Ability to communicate in an Indigenous language.

3. Indigenous public service experience (i.e.: community government office such as band or tribal council office or similar organization, land claim or service delivery organization, National Indigenous Organizations).

4. Experience in providing financial support in any of the following areas in an office or company environment:
a. Purchasing of goods and services;
b. Accounts payable or accounts receivable;
c. Using a corporate credit card;
d. Working with contracts; or
e. Using a financial management system, such as SAP.

5. Experience in providing administrative or organizational support in any of the following areas:
a. Writing, editing and/or proofreading written materials, such as business e-mails, letters, or briefing notes;
b. Scheduling and organizing teleconferences, video-conferences or meetings;
c. Providing travel support services; or
d. Using a database or electronic information management system for records, financial information, or human resources data.

6. Experience organizing, tracking and managing equipment, such as inventory, fleet vehicles, etc.

7. Experience providing record management services such as classifying, coding, indexing, cross-referencing, filing, retrieving, retention or disposition.

8. Experience in determining eligibility for benefit requests.

9. Experience working with grants or contribution agreements or working with the Grants and Contributions Information Management System (GCIMS).

10. Experience working in a health, medical, laboratory or scientific program/services environment.

11. Experience working in a call centre environment.

OPERATIONAL REQUIREMENTS:
Will vary dependent on the position. Some positions may require any or all of the following:
• Shift work.
• Willingness and ability to travel by vehicles and large or small aircraft.
• Willingness and ability to travel to and stay in remote locations.
• Valid Class 5 driver’s licence.
• Willingness and ability to work overtime or extended hours.
• Willingness and ability to be on standby on a rotational basis.
