Duties

A successful Administrative Assistant is driven to go above and beyond for the team, someone who is dedicated to delivering quality administrative/client service and support.

On any given day, you will have the opportunity to work on a variety of tasks and develop your skills in many areas. You will work to build relationships, have the chance to collaborate with talented people and develop a rich network of colleagues with different backgrounds.

Someone who has experience working with the latest efficient technologies and/or software to improve the way work is done would be an asset for this position.

Work environment

The ideal candidate is dynamic and thrive working in a fast pace work environment where priorities and deliverables are constantly changing.

You must be comfortable managing a high volume of work in order to maintain a good flow of the activities and carrying them through to completion by prioritizing tasks.

You must have excellent written and verbal communication skills in both official languages. You will enthusiastically support and collaborate with others, at every level of the organization, be action oriented and a problem solver.

The result of this process will initially be used to staff four (4) positions with a BBB/BBB linguistic profile on an indeterminate basis.

A pool of qualified candidates will be established to staff similar positions on an indeterminate, term or acting basis.

In order to be considered, your application must clearly explain how you meet the following (essential qualifications)

EDUCATION:
A secondary school diploma or employer-approved alternatives.

The employer-approved alternatives to a secondary school diploma are:
• A satisfactory score on the Public Service Commission test approved as an alternative to a secondary school diploma; or
• An acceptable combination of education and experience, including at least one (1) year experience in administrative support or client service.

Degree equivalency

EXPERIENCE:
Experience providing client services (in person, by phone or in writing).
Experience providing *administrative support.
*Examples of administrative support services: tracking and coordinating tasks, monitoring email messages regularly, photocopying, filing, performing messenger services.
Experience in performing administrative services in at least four (4) of the following:
o Coordinating meetings;
o Taking minutes;
o Coordinating teleconferences and/or videoconferences;
o Managing incoming and outgoing correspondence;
o Data entry;
o Editing and verifying correspondence or reports.

Bilingual - Imperative (BBB/BBB)
NOTE: Candidates need to be able to work in English AND in French (reading, writing and oral proficiency) in order to be found qualified and be considered for appointment.

ASSET QUALIFICATIONS
EDUCATION:
Successful completion of a diploma or degree from a recognized institution in secretarial studies, office administration, business administration, finance/accounting or other field related to the position.

Degree equivalency

EXPERIENCE:
Experience in proofreading, editing or formatting various types of correspondence.
Experience inputting, retrieving and tabulating information.
Experience applying administrative procedures or directives.
Experience using Microsoft Office Suite software (MS team, Word, Excel, Outlook and PowerPoint)
Experience in providing support in Human resources
Experience in providing financial support services in procurement (i.e. purchase orders and contracts) and accounts payable (i.e. processing invoices and journal vouchers).

OPERATIONAL REQUIREMENTS:
Willingness to work overtime as required.
Willingness to adopt flexible work hours.

PSEE - Test of Judgement UIT

Applicants must complete the Public Service Entrance Exam: Test of Judgement Unsupervised Internet Test as part of the screening for this selection process. This test assesses the judgement required for solving problems in work-related situations. You will have 75 minutes to complete the test. You must complete the test before you submit your application for this position.
