The intent of this process is to create a pool of partially qualified candidates that will be used to fill positions AS-01 and AS-02 positions within ECCC across Canada and with various language requirements, security requirements, conditions of employment, and tenures.

Administrative Assistant (Stream 1)
Education
Successful completion of two years of an acceptable post-secondary educational program in one of the following specializations: secretarial studies, office administration, business administration, finance/accounting or other field related to the position; or Secondary school diploma and 2 years’ experience in office administration.
Experience
Experience in editing and verifying correspondence or reports using a word-processing system (e.g. MS Word).
Executive Assistant (Stream 2)
Education
Successful completion of two years of an acceptable post-secondary educational program in one of the following specializations: secretarial studies, office administration, business administration, finance/accounting or other field related to the position; or Secondary school diploma and 3 years’ experience in office administration.
Experience
Experience in writing, editing, and verifying correspondence or reports using a word processing system (e.g. MS Word).
Experience in providing advice and guidance in human resources or financial administration.
Experience (Stream 1 and 2)
Experience in providing and coordinating administrative services for a work team, a unit or an executive’s office
Experience in scheduling and organizing meetings or conference calls / videoconferences.
Experience in managing your manager's or work unit's agenda and email.
Experience in providing service to clients, stakeholders or employees by telephone, in person and in writing.

Experience applying administrative policies, procedures or directives.
Experience working in a client service environment.
Experience providing advice and making recommendations to clients.
Experience using a correspondence tracking system (e.g. ccmEnterprise).
Experience maintaining a bring forward (BF) system.
Experience in drafting correspondence, reports and meeting notes.
Experience using an Information Management System (eg. GCDocs, Ecollab, SharePoint etc.).
Experience organizing hospitality and processing hospitality claims.
Experience in procuring office supplies and maintaining the stationery inventory.
Experience in the use of MS Excel.
Experience in the use of MS PowerPoint or similar.
Experience taking minutes.
Experience of using WebEx.
Experience in providing budget and financial support services including procurements and contracts.
Experience using a financial management system (e.g. SAP).
Experience in preparing travel claims.

Experience in providing support on ATIP (Access to information and privacy) requests including, preparation of records for review (i.e. triaging, scanning and indexing) and general administrative services (i.e. photocopying, mail services).

Availability and consent to work overtime, sometimes on short notice.
This process may be used to staff positions with various security requirements such as reliability and secret.
Applicants must complete the Public Service Entrance Exam: Test of Judgement Unsupervised Internet Test as part of the screening for this selection process. This test assesses the judgement required for solving problems in work-related situations. You will have 75 minutes to complete the test. You must complete the test before you submit your application for this position.
